This Privacy Policy describes how LedgerQ (“the Service”) collects, uses, and protects personal information.
LedgerQ is a software application designed to assist accountants in financial statement preparation.
This Privacy Policy applies to the use of the LedgerQ application and related services, not to any website.
2. Information We Collect
We may collect and process the following types of information when you use LedgerQ:
a) Account Information
Name
Work email address
Company name
User role or job title (if provided)
b) Usage Information
Log data (e.g. access times, actions performed)
Feature usage and interaction data
Diagnostic and performance data
c) Customer Data
Report content transmitted to our servers for automated handling of audit review comments under the Professional and Enterprise packages. Under the Essential package, financial statements and the accounting data used to produce them are processed locally and are not transmitted to or stored on our systems.
This data may include personal information depending on the content provided by users.
d) Technical Information
IP address
Device and browser type
System configuration data
Authorisation tokens required to authenticate a connected Microsoft OneDrive or Dropbox account
3. How We Use Information
We use collected information to:
Provide and operate LedgerQ
Process and analyze uploaded data
Improve functionality and performance
Monitor usage and prevent misuse
Provide customer support
Comply with legal obligations
We do not use customer data for advertising purposes, and we do not use Customer Data to train machine learning models.
4. Data Processing Role
For customer data uploaded into LedgerQ:
You (the customer) are the data controller
LedgerQ acts as a data processor
We process such data only on your behalf and according to your instructions.
5. Data Sharing
We do not sell personal data.
We may share information with:
Microsoft, our sole infrastructure provider, strictly to operate LedgerQ. We do not use any other third party to host or process Customer Data. A current list of our subprocessors and the regions in which data is hosted is available on request.
Authorities, if required by law or legal process
All third-party providers are required to protect the data and use it only for specified purposes.
6. Data Storage and Security
We implement appropriate technical and organizational measures to protect data, including:
Encryption in transit and at rest
Access controls and authentication
Monitoring and logging
Data is stored on secure infrastructure managed by trusted providers.
7. Data Retention
We retain personal information only for as long as necessary to:
Provide the Service
Meet legal and contractual obligations
Any file content transmitted to or processed on our servers is held only for the duration of the active session and is erased when the user closes the LedgerQ Add-in, closes Microsoft Word, or logs out of LedgerQ, whichever occurs first. We do not store files or their contents in any database. After termination, we retain account data for thirty (30) days to allow for account resolution, after which we securely delete it unless we have a legal obligation to retain it for longer.
